Tracking
In the old
days, a departmental folder would circulate through the office. Each
person would initial the envelope to signify that they had reviewed
the contents. Then the envelope would be routed to the next person
on the list. With Outlook you can track when the message was
delivered.
Receipts
When your
message is delivered you’ll get a message from the system notifying
you of the delivery. When the message is opened you get another
receipt. Now, just because the message was opened doesn’t mean that
the words were read!
Reply to
Consider this: I’m
working with Linda and we want to continue our project over the
weekend. If I changed my reply address to be my home e-mail then,
when Linda answers my email, it will be sent to my home.
Do Not Send Before
Another
good option for delivery is Do Not Send Before, located halfway down
the screen. If you are sending a message to everyone in the county,
why not send the e-mail tomorrow night at 9:00 when the network
usage is low?
Expiration
When you
set your e-mail to expire you are setting a tombstone. Think of it
this way: people post messages for company picnics, parties and
birthdays in the department’s kitchenette. When the party is over
someone usually takes the poster down. This works in e-mail, too.
When the event is over the email invitation is automatically deleted
for them. As the joke goes, the e-mail “melts in their mouth, not in
their hands.”
